What can you actually automate with AI?
AI is good at a narrow set of things. Reading text, classifying it, summarising it, extracting fields from it and drafting a first version of something. Almost every reliable business automation is one of those five wrapped in ordinary software.
Here are the seven that show up most often, and how to tell which one belongs first on your list.
Seven workflows that automate well
None of these are exotic. They are the tasks that quietly consume a working day.
- Inbox triage. Classify inbound mail, route it, draft the standard replies.
- Lead qualification. Score enquiries against your criteria and write them to the CRM.
- Document extraction. Pull fields from invoices, contracts and forms into structured data.
- Meeting follow up. Summarise the call, list the actions, create the tasks.
- Content operations. Repurpose one piece into variants for each channel.
- Reporting. Assemble recurring reports and highlight what changed.
- Support answers. Reply from your documentation and escalate anything unclear.
What AI still should not run alone
Anything with legal or financial consequences, anything requiring negotiation, and anything where the correct answer depends on context that lives only in someone's head. Also anything you cannot check, because an automation you cannot audit is a liability rather than a saving.
Keep a human decision point wherever being wrong is expensive. The savings come from removing preparation work, not from removing oversight.
How to choose the first one
For one week, log every task done more than three times. Score each by frequency multiplied by minutes, then subtract points for risk and for how many systems it touches. The top of that list is your first project, and it is almost never the most exciting idea in the room.
Choosing the highest volume, lowest risk workflow is what makes the second project easy to fund.
Automation is mostly plumbing
The model is the small part. Most of the effort is in clean inputs, a narrow task definition, a strict output format and a place to review results. Teams that tidy their templates and definitions first get better output from smaller, cheaper models.
Build one, measure it for a month, then compound. A series of small automations beats one ambitious system that never ships.
Frequently asked questions
Do I need custom development or will off the shelf tools do?
Start with existing tools for standard tasks. Custom work is worth it when the workflow is specific to your business or spans several systems that do not talk to each other.
How quickly should I expect results?
A single well scoped workflow typically goes live in weeks and shows measurable time savings within the first month, provided you recorded the baseline before starting.
